The parish council provides the pastor with the opinions of the laity for the good of the parish. Pray for members of the council and for all concerned with the welfare of this parish, that they may be open to the movement of the Holy Spirit and be always ready to carry out God's will. September 8, 2009 PC Meeting Notes A. Call To Order Meeting called to order, opening with prayer and Hail Mary in honor of Mary’s birthday. B. Routine Matters 1. May 19, 2009 meeting notes reviewed. DECISION: approved. 2. September 8, 2009 meeting agenda reviewed with addition of the following New Business: · Financial Report, fiscal year end ? Hall Usage; Sales within church · Request for North Ball Field Pro-life sign ? Follow up on Parish Group Leader orientation · Request from Kitchen Coordinator/ Church cleaner ? Annual Time & Talent sign up DECISION: Agenda approved with the additions. C. Pastoral Report- Fr Tim Fr. Tim offered appreciation for the parish practice of tithing, to the following charities: · Birthline, · Catholic Bishops of Northern Alaska & Los Amigos del Padre Juan · Rising Villages D. Trustee Report – D. Wentland Duane offered appreciation to the parish council for their participation, attendance, and support. E. Committee Reports 1. Social/Secretary – by Jackie Popp a. Selecting new Parish Group Leaders- will occur in the month of September. It is our practice to alphabetically move down the parish group listing to share the 2 year assignment of group leader, everyone taking their turn. Target date for completion is September 25. b. Parish Group Leader Orientation- Group leaders report that they have not been contacted for service outside of the annual church cleaning. Many group leaders are not clear for their role. To enhance parishioner participation in our church community, Jackie presented a plan to orient the 2009/2010 leaders. Orientation materials were review. DECISION; Date was set for September 30, 7:00-8:00 pm was selected (during CCD). Fr. Tim will encourage participation through announcements at weekend Masses. c. Church Fall cleaning (odd year- Sts. Peter, John, Mark) date needs to be set with a mind to avoid MEA to support family vacation time, and to avoid scheduled wedding dates. Grounds, garage, lawn, Hall, church basement & kitchen, bathrooms, choir loft, church entry, and main church, need cleaning. Parishioners are asked to bring rakes, rags, buckets. DECISION/ACTION: Date was set for October 10, 08:30 am to 11:30 am or all lists completed. Jackie & Mary will ask Catholic Aid for donation of donuts for the break. 2. Maintenance- by Mike Kahl Annual Walk-around Assessment identified the following ground/building repair needs: · Ball field shelter door needs repair. Recommend lock be disabled. · Replace screens on louvers to ball park men’s toilet. · Add 6 yards (9” minimum depth) of cushion depth to playground · Add signage to SE corner playground, “Adult Supervision Required,” for insurance purposes. · Recommend not to trim trees for easier mowing, as the trees buffering the roadway, to discourage children from inadvertently running out to the road. · Church wood floor polyurethane application, under pews · Replace carpet · Freshen up paint inside church · Clean rain gutters of pine needles & leaves · Hall repair walls & paint · Consider 7th grade room replace chairs vs. add wall guard ADDITION REQUESTS: On behalf of Jeannie Bemboom, Mary requested purchase of additional white (lighter weight) dinning tables, and a small vacuum for stairs. Jeannie proposes to pain the walls either side of the large water font in the church entry, using a washable Latex-based paint. DISCUSSION: A review of the financial report noted inadequate reserves to meeting all requests. Mike proposes a special Capital Campaign targeting the highest priorities. This would include the church floor under the pews, the church carpet, church wall painting, and Hall wall repairs and painting. APPROVAL: Members approved the Capital Campaign. Richard and Mike will enlist a small group willing to organize and champion the campaign. Rain gutters will be cleaned using volunteers, Duane and Mike. Bucket truck rental is approved for the safety of this work. Mary to ask that Jeannie contact Duane regarding equipment/supply needs. She is also approved to refresh the paint at church entry (matching color). 3. Liturgy- by Richard Cash The group is meeting in 2 weeks. 4. Youth – no report 5. Religious Education- by Shirley Scapanski a. Religious Education opener is September 23. Teacher’s meeting and potluck is September 10. b. Need for a 10 grade catechist and a 9th grade helper. There have been 2 recent and promising inquires. c. September 13, "What Keeps Us Catholic: Bringing Faith to Life and Life to Faith"- Dr. Thomas Groome, nationally known catechist speaker and author, 7:00-9:00 at Holy Angels Performing Art Center, Cathedral High School. Everyone is encouraged to attend. d. Tim Welch will speak to catechists, “Called to Discipleship”. Education enhancement materials for our religious program are offered on-line. 6. Cemetery- by D. Wentland on behalf of Loren Popp All is going well, Monday will see dirt added where needed. F. Old Business 1. Parish Picnic Report APPROVED recommendations for next year include: Enlist volunteers to coordinate planning and volunteers; add “Annual Picnic Planning” to the Time & Talent sign-up. Assign an adult to support youth in games. Purchase games prizes. Discontinue portable toilet rental in place of existing toilets. Improve the appearance (hand sanitizer, refresh paint). Add 2 spotters to the auction. 2. Parish Directory Update- expected available first part of October. 3. November Mission – Fr. Tim acknowledged the chair persons, Maureen Athman and Shirley Scapanski. Posters, brochures are circulating. Volunteer recruitment will begin September 25. All Parish Council members are encouraged to participate. We have permission to video the sessions for viewers unable to attend. Permission prohibits resale. 4. Painting Hall update- Approval was suspended as we failed to follow our process to identify and prioritize repairs and maintenance expenses. This item is now added to that list and process. 5. Follow-up on Action of May 19 Minutes · Trustee State of the State – rescheduled to coincide with the fiscal yearend report. G. New Business 1. Walk-Through Report- See Maintenance Report Fall Clean-up – See Social/Secretary Report 2. 7/08-6/09 Year End Financial Report Performance was reviewed in comparison to the prior year 3. World Priest Day, October 25- by Duane Wentland The diocese recommends parishioners celebrate their priest to affirm their support, and love. DECISION: Members look to the Liturgy Committee to plan for both 10/24 and 10/25 Masses. Richard will coordinate with that group. Duane will enlist volunteers from the Time & Talent listing, to coordinate a social gathering after each Mass. 4. Time & Talent – by Jackie Popp September is the month for annual sign-up. DECISION: Duane to circulate 2008 Form across PC Members for revisions to their section of the sign up. Jackie to coordinate survey dates with Maureen Athman, so as not to confuse parishioners with Mission volunteer signup. Once complete, Jackie to work with Parish Secretary to format reports according to committees. 5. Request- Display a Pro-Life Across America (5ft x 11ft) secured to the ballpark chain backstop ACTION: Members support the sign but direct Richard to seek approval from the Ball Park coordinator, Chuck Wocken. 6. Policy for Use of Facilities – and – Guidelines for Sales DECISION- Policy and guidelines to come to next meeting agenda for feedback 7. Next Parish Council meeting set for November 10, 6:45 pm, a. Joint Meeting with Immaculate Conception Church Parish Council from 6:45 – 7:45 b. Annunciation Parish Council to follow H. Meeting adjourned 9:30pm, closing prayer. Respectfully submitted by Jackie Popp, Parish Council Secretary May 19, 2009 PC Meeting Summary A. Pastoral Report The Holy Week was well attended and the schedule went well between the two parishes. There were 2 RCIA candidates welcomed into the parish and it couldn’t have been a better or more welcoming time. The reception was enjoyed by all. B. Trustee Report 1. Members were reminded that the Parish Council Articles set the expectation that members can miss only 3 meetings in a calendar year. 2. Revenue and expense categories of the April 2009 Financial Report were clarified. No concerns were expressed. C. Committee Reports 1. Cemetery- by Loren Popp a. The small storage shed approved at March meeting is put on hold pending black top of the loop drive. b. Dennis Brand will remove the top soil in preparation for black top. His services are volunteered. The black topping will be covered by the cemetery budget. c. 2 headstones were straightened by Katke Monuments. This included crushed granite base and leveling. d. From March 10 meeting notes: Lacking information regarding the March 10 interest to review grave site charges, the item is dropped. 2. Liturgy- by Richard Cash a. The most recent meeting was May 4. Holy Week evaluation had the following feedback: -Would like to see a mix of old and new music including some organ. -Holy Thursday was to end in quiet reflection. The servers did a wonderful job stripping the alter however the plan to dim the church lights was overlooked and may have contributed to parishioners having conversations typical to any Sunday Mass. It was not a solemn meditative atmosphere. The ‘celebration’ in the basement following Holy Thursday Mass was clarified as a time of fellowship and very appropriate. Members agreed that next year the dimming of the lights would be all the reminder needed to encourage people to remain in prayer or reflection. The music director was present to hear feedback regarding music suggestions. 3. Youth – by Ryan and Kayla Youth Group interest was explored. No decisions were made. Interest remains uncertain. 4. Social – by Jackie Popp a. The Women’s Group and Peggy Janson, Lisa Przybilla, and Jean Bemboom, are acknowledged for their hard work in organizing the Graduation Mass and Breakfast for May 31. Letters went out to graduates as well as to workers (11 graders & parents). We recognize the huge amount of work to acknowledge our graduates. Thank you! b. Church cleaning (Spring- Sts. Peter, John, Mark) on April 18, saw participation from 14 families (21 individuals). This represents 12% of the families listed for the three groups, with half of the leaders attending (3 were PC members). It is recommended that we consider regrouping the 6 parish groups, or at least explore ideas to increase participation. This will be one of the topics brought to the Fall Orientation of new leaders. PC members agree that increasing participation within the parish groups will be a focus this year. Jackie will enlist the help of the group leaders and add this topic to the Fall orientation of parish group leaders. c. The PC purpose statement was added to the header of our minutes as a reminder. d. Easter Vigil evaluation was very favorable with recommendation to repeat everything in 2010. Consider decreasing the wine by one box. All other orders should remain the same. 5. Maintenance- by Mike Kahl a. The church main (front) door lock is sticking. Mike will try to loosen it with WD-40 prior to contacting a lock smith. b. Members believe that making the PC minutes available to parishioners will be reminder for who to contact for repairs or other services. 6. Religious Education- by Shirley Scapanski a. Confirmation on May 17, at Sacred Heart Church (8 area parishes), went well. Organizers learned about the variation in positions and programs across the parishes. Our Confirmation program balances learning and social justice. We are still in need of 2 leaders for the up coming year. b. Shirley will remain out of the office until August 1st. She invites feedback and suggestions for the up coming religious education programming. c. Religious Education is also looking for increased adult participation in the programs. Members believe the Mission scheduled in November, is just what we need. D. Old Business 1. November Mission will jointly involve both parishes across 5 evenings. Each evening has a symbolic theme with the last night a Mass. Fr. Peter Shavitz will lead us. Maureen Athman and Shirley Scapanski have been appointed as chair persons to jointly make plans. Maureen and Shirley will keep the parish updated through the weekly bulletin. Everyone is reminded to keep the joint planning group in their prayers, as well as the November Mission. 2. 2009 Lawn care bid update by Duane Wentland : 2 bids were received with contract awarded to Green Leaf Lawn Care. This is a one year contract. Contracting will begin in February, 2010, for a 2 year period. 3. Church directory update by Duane Wentland-Parish Council expressing appreciation to the subcommittee members for their hard work: Lucy Palmer, Clara Knettel, Donna Poganski, Karen David, and Joyce Notsch, lead by Duane Wentland. There will be room for 7 pages of activities. Once Father completes his insert letter it will be sent off to production. Father Tim reports that Janice, our parish secretary, is adding family photos to church census records. 4. Homa Bay, Kenya update- by Fr. Tim: The presentation and photos will coincide with the Graduation Breakfast, May 31, following Mass. E. New Business 1. Set Planning Date for August Picnic & Parade- July 14, Annunciation Hall, 7:00 pm. 2. Meeting minutes made available to the parish- Meeting notes will be made available follow meetings as planned. 3. Table/Chair rentals for parish graduation parties: There are 2 tables stored in the garage that can be loaned out. A sign out sheet is available. No chairs are loaned out. 4. Trustee ‘State of the State’ address to the parish- Members agree and ask that the Trustees and Father organize the address. It will be scheduled for a Saturday/Sunday in June, with cookies & coffee fellowship to follow the Masses. Jackie will coordinate the fellowship volunteers & supplies. 5. Paint needs of Annunciation interior walls- Shirley will post the information on how to submit bids, to the church bulletin. 6. Future Dates to keep in mind: July 18/19 is Summerfest at Immaculate Conception; August 9-14 is Vacation Bible School; August 16 is Annunciation Parish Picnic. 7. Next Parish Council meeting set for July 14, 7:00 pm.
March 17, 2009 PC Meeting Summary Pastoral Report Holy Week Schedule alternates each year between the parishes. Trustee Report 1. A list of parishioners who have not as yet completed registration information to bring church records up to date. These parishioners will be approached regarding additional registration information. 2. February 2009 and Year To Date Financial Report was reviewed. Committee Reports 1. Cemetery- by Dale Symanietz a. Ray Schlichting recommends a small storage shed be erected for storage purposes. b. Discussion regarding a change in the charge for grave site was tabled for a future meeting when Ray could participate. 2. Liturgy- by Richard Cash a. Stations of the Cross are occurring Friday evenings during Lent. b. Next scheduled committee meeting is March 24 . 3. Social – by Jeannie Lahr a. Monthly social calendar decided last Fall, addressed potential critical calendar conflicts between our two parishes. The schedule is working well. Something every month. b. Jackie Popp recommended a Fall orientation inviting all chairs/co-chairs of the six parish groups to get to know each other and review the design of their responsibilities. PC members to consult their committees for how they might benefit to access parish group volunteers, and bring feedback to the next PC meeting. 4. Maintenance- by Fr. Tim a. Bob Heimenz (snow blowing & shoveling) was recognized for his dedication and attention to snow days. Jake Lubbesmeier was recognized for his attention to shoveling walkways. Don Janson (snow blowing parking lots) was also appreciated for a thorough job. b. Building codes require renovation to our elevator. MN Elevator Company has been the company used in the past. 5. Religious Education- by Fr. Tim a. First Communion is scheduled May 29. b. Confirmation (7 area churches) is scheduled for May 17 at Sacred Heart Church, Sauk Rapids. c. Dale Symanietz proposed Confirmation year be moved to 10th grade as the Junior year of High School was so demanding on student time. The recommendation will be brought to the Religious Ed. Coordinator for consideration. Old Business 1. Church directory update- by Duane Wentland a. Subcommittee members include: Lucy Palmer, Clara Knettel, Donna Poganski, Karen David, and Joyce Notsch, lead by Duane Wentland. Olan Mils is the directory company. Their next meeting is March 17 for final plans. Additional meetings April 6, and 10. b. Photo sign up will occur across the next 4 weekends. 2. Homa Bay, Kenya update- by Fr. Tim: Our Bishop held a Mass prior to departure of the team. We were notified that they arrived safely. 3. Joint Parish Council meeting date confirmed as April 21, at Immaculate Conception Church, Rice, at 8:00 pm. 4. February 8th Couples Night follow-up by Jackie Popp & Fr. Tim- Great food, fellowship, and music. Few Immaculate Conception couples attended. 5. Parking lot lighting update by Duane Wentland- Completed New Business 1. Installation of new Parish Council members Student representatives- Ryan Symanietz, and Kayla Schubert; Secretary- Jackie Popp; Cemetery liaison- Loren Popp 2. Thank you- to retiring members- Jeannie Lahr-Secretary, and Dale Symanietz-Cemetery liaison. We are all grateful for their years of service to our parish community. 3. 2009 Lawn care bidding process & status update- bidding be opened up for a 3 year term. 4. Set date for Fall Cleaning- Date set for April 18, based on close of CCD and scheduled weddings. 5. Plan Easter social- Plans were based on the evaluation and recommendations from 2008. 6. Next Parish Council meeting set for May 19, 7:00 pm. (Moved from May 12 at request of Fr. Tim.)
