Meeting Minutes
Board Meeting: Saturday January 29, 2005
Cabin #4, Camp Cuyuna Family Camp


Members Present: John Fretham, Jeff Kunkel, Steve Knuth, Doug Raney, Keith Fitzpatrick, Don Halverson

Members Absent: Bill Groskreutz, Lowell Johnson, Scott Poppe, Jon Morrill

Visitors Present: None

(Note: since a quorum was not present, this was a no action meeting.

After Lunch, Meeting was called to order by Chairman Doug Raney at 12:30 p.m.

Doug reported that our Matt Chase has volunteered to be the Secretary of the CCAA, and will so be appointed by Chairman Raney.

Treasurer Halverson handed out financials showing all the income/expenses for 2005. The current balance in the CCAA Checking is $1,485.57

Keith Fitzpatrick discussed the proceeds of the "Sale" to the DNR and the Summit Ave lot in Mankato:
Family Camp sale to the DNR: $1,552,000.00
Summit Ave. Lot $170,000.00
TOTAL PROCEEDS $1,722,000.00

Use of Proceeds: $772,000.00 was used to retire the Council Debt
$650,000.00 was set aside for Camp Improvements (at all 3 Camps)
$300,000.00 was put into endowments

Chairman Raney stressed the need for the CCAA executive Board to keep track of all "in kind" (non-reimbursed) donations ..ie. Mileage to meetings, donated printing and postage etc. Now that we are a Non-Profit Organization this info would be vital in the application of Grants and reporting of our financials.

Bill Groskreutz reported (via e-mail) membership report.

Lost Scouts: 111
Current Email Addresses: 164
Associate Members: 2
Honorary Members: 0
Dues Current thru 2005 or later: 50 (28 last years Staff)

It was also reported that dues were recently paid by: Tim Stelter, Chuck Powers (plus $15 towards Cuyuna Projects) and Roger Saindon (plus $50 towards Cuyuna Projects) These funds are en route to the treasurer for deposit into the CCAA account. Bill also reported on an email from a former Camp Staff member, requesting his "personal details" be removed from the website. It was the consensus that Bills emailed reply to this concern was excellent, and no further action was necessary.

Discussion was held concerning the Sponsor-An-Acre Certificates. Chairman Raney will be sending them out to all donors to the Capital Campaign in the next week. All donors of $500 or more will receive framed Certificates.

Chairman Raney reported that he will work with Bill Groskreutz to update the website to provide more info about the DNR Sale, and to emphasize the CCAA work week-end, scheduled for June 2005.

A slight revision to our CCAA logo was discussed. It will be further discussed at the next CCAA Executive Board Meeting in June.

Steve Knuth suggested we add the "Camp Needs List" to the CCAA website.

Chairman Raney reported that the next issue of the Communicator will include: the DNR Sale details, Financials, work week-end Promo, lost Scouts, Camp needs, sponsor an acre reminder, and more. It is planned to be sent out to members in Mid April.

The need for the CCAA to have a "strategic plan" was discussed. This will be addressed at the next CCAA Board Meeting.

Chairman Raney reminded the board that nominations to the Executive Board would be needed by the next CCAA Board Meeting.

Future Fundraising will be discussed at the next CCAA Board Meeting, including: Sponsor-an-acre, Art Sale, Friend of Cuyuna (Levels of Sponsorship), Endowment Fund, Business/Corporate, and Grants.

Keith Fitzpatrick suggested that the formation of a Financing Committee would be appropriate for the next meeting.

Keith Fitzpatrick informed the Board that he will be conducting an "Adventure Week-end" at Cuyuna Oct 20-23, 2005 for older Scouts. He will be needing help for Staffing this week-end.

Chairman Raney declared the meeting adjourned at 1:57 p.m.
