Meeting Minutes
Board Meeting: Saturday September 6, 2003
Old Business
- Finances now in order. Pat Kunkel, Steve Knuth, and Doug Raney reimbursed for expenses incurred. Transferred $100 for FOS donation. Linda at council office will send a financial report every January showing all activity on our account for the previous year. We can also request financial reports whenever we need them. As of August 31, 2003, our current balance is $1,520.97.
- Current membership=35 free memberships (this year's staff), 9 paid memberships. Total alumni in database=511. Total current address=401 (current through 2001 or later). Total current e-mail address=165.
- One more T-shirt sold!
- First annual work weekend and annual meeting held at Camp on June 13th, 2003. Small crew attended, but we were able to help with several projects to get Camp ready to open. Everyone seemed to enjoy the event, and holding the event the Friday before OA Spring Conclave/the schedule of events seems to have worked well.
New Business
- Two lost staffers have found us through our website! Aimee (Rex) Miller (1995), and Terry Jensen (1969, 1970).
- Set schedule for upcoming events:
- 01/17/04: Next Board Meeting (10:00-12:00 AM, Council Office, Mankato)
- 03/12/04: All information submitted for Spring 2004 Newsletter
- Week of 04/11/04: Send out Spring 2004 Newsletter
- 05/17/04: RSVP for 2004 Work Weekend/Annual Members Meeting
- 06/17-06/18/04: 2004 CCAA Work Weekend and Annual Members Meeting
- Thursday 6/17, 7:00 PM: Social, Fifty Lakes
- Friday 6/18, Breakfast on your own
- Friday 6/18, 9:00 AM: Start work at Camp, Meet at Admin Building
- Friday 6/18, Camp Lunch provided by CCAA
- Friday 6/18, 4:00 PM (or so): Complete work at Camp
- Friday 6/18, 6:00 PM: Dinner and Annual Members Meeting (place TBD, perhaps Donny's house for BBQ again)
- Good discussion about importance of keeping alumni addresses current for next reunion. We don't want to let things slip and lose all of the hard work for the first reunion. Some ideas:
- Change return address on newsletter to Bill's address so undelivered newsletters go to Bill so he can keep the database current.
- Find out what services are available, postal service or mail house, to check addresses when sending out newsletter/find new addresses for those people.
- Periodic e-mail reminders to update e-mail and address on web site if it changes.
- Create sub-committee by next board meeting specifically to keep up on addresses.
- Spring Newsletter to be sent out week of 04/11/04.
- Change return address on newsletter to Bill's address.
- Emphasize dues renewal cycle. Idea: place renewal notice/"dues current through" on labels/newsletters for members as a reminder.
- Article with schedule for 2004 Work Weekend and Members Meeting.
- Include information on Volunteer Commissioner position at Camp.
- Idea: include old photograph of staff with faces X'ed out to show how we've lost contact with staff and encourage people to send us updated contact information and help us find others.
- Discussion about "Honorary" CCAA Membership. Board to discuss further via additional meetings, hopefully via phone or the Internet. Good opportunity to test other ways to meet and conduct business. Goal to propose Amendment at 2004 Members Meeting outlining how Honorary Members will be selected and their role in the CCAA.
- Doug provided update on his involvement in the Asset Assessment Committee. Asset Committee to submit recommendation this Fall, which will include recommendation on what to do with Camp Cuyuna. Motion approved by the CCAA Board of Directors to send a letter to all Camp Cuyuna staff alumni informing them what is going on and encouraging them to become involved to support Camp Cuyuna.
Action Items
- Doug Raney to send out letter the week of 09/08/03 to all Camp Cuyuna staff alumni informing them what is going on regarding the Asset Assessment Committee and encouraging them to become involved to support Camp Cuyuna.
- Doug Raney to create sub-committee by next board meeting specifically to keep up on addresses.
- Carol Poppe to check with post office to see what services they offer for checking/updating mailing addresses.
- Jim Menton to talk with council webmaster about moving the link to the CCAA website to a more prominent location on the council website, and adding a link from the Cuyuna Live website to the CCAA website.
- Jim Menton to look into setting up a web chat room where we can hold meetings/discussions and distribute details to board members.
